Data Privacy Policy
Introduction:
What is data protection law and why does it matter to those all those engaged in the Winchelsea Millenium +25 Book Project? The European Union (EU) General Data Protection Regulations (GDPR) came into effect on 25th May 2018. It governs how individuals, companies and organisations operating in the EU can process personal data relating to individuals (“data subjects”), and the rights of those individuals in relation to the data held about them. These reformed data protection laws replaced previous legislation dating from 1995. In response to the technological transformation of data in a digital economy, they were designed to protect online privacy rights. In the United Kingdom, the GDPR was enacted through the UK Data Protection Act (UKDPA) 2018. Together, the GDPR and UKDPA make up UK Data protection law, notwithstanding the UK’s departure from the EU. The UKDPA takes precedence over the GDPR, and it is the Data Protection Act that Winchelsea Millenium +25 Book must comply with. The GDPR requires member states to appoint an independent Data Protection Authority (DPA) to uphold information rights, including the power to implement fines. In the UK, this DPA is the Information Commissioner’s Office.
The seven principles of GDPR (and therefore the UKDPA) are as follows: Lawfulness, Fairness and Transparency; Purpose Limitation, Data Minimisation; Accuracy; Storage Limitation; Integrity and Confidentiality, and Accountability.
1. About this Policy.
1.1 This policy explains when and why we are collecting personal information about voluntary participants for the Winchelsea 2025 Book who reside in Winchelsea, how we intend to use it, how we will keep it secure and your rights in relation to it.
1.2 We may collect, use and store your personal data, as described in this Data Privacy Policy, and as described when we collect the data from you.
1.3 We will always comply with the General Data Protection Regulations (GDPR) and UKDPA when dealing with your personal data. Further details on the GDPR can be found at the website for the Information Commissioner (www.ico.gov.uk). For the purposes of the GDPR, we will be the “Controller” of all personal data we hold about you.

4.1 We will not transfer your personal data without your consent.
4.2 We have implemented generally accepted standards of technology and operational security in order to protect personal data from loss, misuse, or unauthorised alteration or destruction.
4.3 Please note however that where you are transmitting information to us over the internet, or via an encrypted telephone messaging system this can never be guaranteed to be 100% secure.
4.4 We will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.
5. Who else has access to the information you provide us?
5.1 We will never sell your personal data. We will not share your personal data with any third parties without your prior consent (which you are free to withhold), except where required to do so by law.
6. How long do we keep your information?
6.1 Apart from the information that appears in the published book, we will only hold other personal data e.g., a telephone number and/or an email address etc, on our systems for as long as is strictly necessary in order to process the surveys, or for as long as is necessary to comply with any legal obligations.
7. Your rights.
7.1 You have rights under the GDPR:
(a) to access your personal data
(b) to be provided with information about how your personal data is processed
(c) to have your personal data corrected
(d) to have your personal data erased in certain circumstances
(e) to object to or restrict how your personal data is processed
(f) to have your personal data transferred to yourself.

Participation in the Winchelsea Millennium +25 Book Project, which includes completing and sharing with the Project the attached survey and agreeing to have your photograph taken for subsequent publication, is entirely a matter of personal choice for all individuals approached. If you wish to participate your consent must be ‘unambiguous and involve a clear affirmative action’ (an Opt-In) (ico.org.uk).
